Terms of service

These terms cover the use of RetailMan, the point of sale, portal and online shop made by iCode Consultancy ("we", "us"), by a business ("you") and the people it gives access to. By using RetailMan you agree to them. Where you have a separate signed agreement with us, that agreement comes first.

The service

RetailMan gives you a web portal, till software for Windows PCs and, if you switch it on, an online shop. We may improve and change features over time, and will try not to take away anything you rely on without notice.

Your account and staff

• You are responsible for the people you add to RetailMan and what they can do. Give each person their own sign-in and only the permissions they need.
• Keep passwords, till PINs and till enrolment codes private. Tell us straight away if you think one has been misused.
• Revoke a till in the portal if its PC is lost, stolen or replaced.

Your records

The products, customers, sales and other records you put into RetailMan remain yours. You give us permission to store and process them only to provide the service. You are responsible for having the right to record any personal information about your customers and staff, and for the accuracy of your prices, tax rates and records.

Tax and receipts

RetailMan calculates tax from the rates you set. You remain responsible for setting the correct rates and for meeting your tax and record-keeping obligations.

Online shop and payments

Sales made through your online shop are between you and your customer. Online payments are processed by Paynow under your own Paynow account and Paynow's terms. You are responsible for fulfilling orders, refunds and any dispute with your customer.

Acceptable use

Do not use RetailMan to break the law, to sell illegal goods, to try to get at another business's records, or to disrupt the service. We may suspend access that puts the service or other businesses at risk.

Availability

We work to keep the portal and online shop available, but cannot promise they will never be interrupted. Tills are built to keep selling without a connection and to upload their sales once it returns. Keep your till PCs' clocks correct and let them connect regularly.

Fees

Fees, if any, are as agreed with us in writing.

Liability

RetailMan is provided with reasonable care and skill. As far as the law allows, we are not liable for indirect or consequential losses, such as lost profits, and our total liability is limited to the fees you paid us in the twelve months before the claim.

Ending

You may stop using RetailMan at any time. Either side may end the service as set out in your agreement with us. When it ends, you may ask us for a copy of your records within a reasonable time, after which we may delete them.

Changes to these terms

If we change these terms, we will update the date at the top of this page and tell you of important changes.
